Once a patient record is selected, documents will be displayed with a Document Actions Menu on the left.
The two sections, Local Actions and Network Actions perform similar functions with the former using local documents and the latter using all documents from all MIN-NS subscribers on the network.
Actions ‘Add New Document’ and ‘Manage Consent’ work only with the local node, where Retrieve Clinical Summary works only with all network documents.
Local Demographics -The local demographics page is the landing page when you select the patient name from a search result. The information from the most recent local demographic document (ADT) for this patient is displayed.
Add Document – You may upload documents from your personal computer's desktop or from email to the patients record in the HIE. This is a good way to share information with other subscribers. Especially if your facility does not have an Electronic Medical Records (EMR) system or your EMR is not integrated with the HIE. Any document stored digitally can be uploaded to the HIE. Examples are documents printed to a file in pdf format, documents scanned and saved on your local computer, or email attachments in Microsoft Word, Excel, or text format. The HIE also accepts images in .jpg or png format.
We will cover the upload process on page Adding Documents manually to the HIE.
To view manually uploaded documents in another network node, select the All Documents Tab. These documents do not appear in any other Tab.
View Local Documents – This selection will display documents for this patient from your local facility’s electronic medical records system (EMR). In non-integrated EMR nodes, nodes that do not get information directly from any EMR can import network documents, and they will appear here. This enables you to secure mail them to other subscribers.
Manage Consent – If your patient has requested in writing that they do not wish to have personal health information viewed on the network or restrict viewing of the information to specific nodes, the consent page allows this. Selecting Emergency Only for a node will restrict that node to viewing their local documents only. Selecting View Network Documents will trigger a Break the Glass Screen. The user must enter their reason for viewing the documents and an audit record is made. The documents will be available for that HIE session only. Future record requests will require breaking the glass again.
For a complete Consent Discussion please see page Manage Patient Consent.
Network Demographics – Displays information from the most recent demographic document in each node. All nodes are displayed by expanding the small icon.
View Network Documents – Selecting this menu item retrieves all patient documents in all node of the HIE and displays them in their appropriate tab. This is the most frequently used HIE view.
Retrieve Clinical Summary – Select this menu item to generate an organized report of the patients last 6 months of clinical data stored in the HIE. The most recently generated Clinical Summary is stored for each HIE node where the patient has a record. For detailed discussion see Retrieving a Clinical Summary.
